How to set up notifications from Documaster to Teams (or Slack)

Notifications settings are located under Settings > Notifications.

To configure a new set of notifications, click "Add new notification".

 

Provide a name for the new notification setup and then click "Add".

 

Note: We will leave the Target set to "Entry". This indicates that we want notifications when entries are created or modified.

 

The other alternative for target is "Tag", which will allow for notifications when new tags are created.

 

Your screen should now look like this.

Next, click on"Conditions (0)"

 

Click on the "+" button to add a condition for when notifications should be sent.

The options you have are:

  1. Folders that include the tag
    This will allow you to set up notifications only when certain tags are used, such as for the tag "Master agreement"

  2. Folders that are in a specific section
    This will allow you to set up notifications only for a specific section

  3. Users belong to access group
    This allows for notifications to be sent when users belonging to certain access groups upload content or make changes in Documaster. Please contact Documaster for support when setting this up.

Please select "Folders in section" and then click on the button "Select section".

 

Look up the section you want to set up notifications for and click "Select"

 

Finally, select "Add condition"

 

Next, select "Events".

 

Normally you should only have "Entry Create" and "Entry Status Change" selected.

 

This will fire notifications when an entry is created or when someone changes the colour status.

 

"Entry Tag Change" will send notifications whenever someone adds or updates a tag on any given entry, and is often considered too verbose and therefore left off.

 

The next step is to set up "Outcomes", which is where we will define which Teams (or Slack) Channel the notifications will go to.

 

Click "+" and select "Send notification to Teams".

 

We now need a "Webhook" URL for the Teams Channel in question. That URL must be obtained from the Teams channel.

 

In Teams, locate the channel you want notifications to go to, click the overflow menu and then select "Connectors".

 

Note: you must have the correct privileges in Teams to be able to view this option.

 

Click "Configure" on the connector called "Incoming Webhook"

 

Enter a name for the connection, e.g. "Documaster" and upload an appropriate image. Please contact Documaster to upload the Documaster "D" logo.

 

Click "Create".

 

You will now be provided with a URL.

 

Please copy this URL and return to Documaster to complete the setup.

 

 

Paste the URL into the field that says "Webhook URL" and click "Add outcome".

 

 

Click "Done".

 

 

You will now be back at the "Notifications" setup page and you should be able to see your new notifications configuration in the list.

 

The final step is to activate the configuration. Click the grey switch button on the right.

 

When it turns purple, it's on, and notifications will start appearing in your Teams channel whenever new entries are created.
